Team Assistant
Optivo have a fabulous opportunity within our Property Services Team in Battle, Sussex as a Team Assistant. We’re looking for someone who is enthusiastic and committed to providing excellent customer service to professionally support a wide range of colleagues across the Voids Property Services – Sussex and Kent teams. You’ll be expected to provide a full range of administrative and support services, ranging from moderate to complex, to facilitate the effective and efficient service delivery to internal stakeholders. You’ll liaise with internal/external customers and contractors to ensure a high standard of service is achieved and exceeded.
You’ll provide administration support to the Voids Coordinator and the Voids Team in Sussex as well as providing cover for your counterpart in the Kent region when required. You'll also provide diary management, arrange and minute meetings, training and ongoing coaching sessions and participate in customer service centre management activities. You’ll accurately record and compile payroll related expenses for managers, storing and providing all necessary receipts.
You’ll set up and maintain office systems and procedures (e.g. filing systems, departmental spreadsheets, databases), you'll carry out a range of administrative and office support activities and accurately scan/index incoming post quickly and efficiently.
You’ll arrange meetings/training as and when required through Microsoft teams and manage CRM, processing information correctly and in a timely manner.
This is a permanent, part-time position, working 30 hours a week. There's the opportunity for a hybrid working arrangement, allowing you to split your time between work from our offices in Battle and working from home.
What you’ll need
You’ll have excellent communication skills and have experience working as a Team Administrator/ Document controller in a customer service-related field. You'll have good attention to detail and be well organised, with a methodical approach to prioritising your workload. You’ll be comfortable managing a busy workload and have experience working with CRM systems, along with good Microsoft office skills. Experience of working within the Housing or voids arena is desirable but not necessary.
